Practice Policies
These policies explain how our office works, how appointments are handled, and what you can expect during your care at Rose Hope Psychiatry. These rules help keep visits smooth and respectful for everyone.
1. Scheduling Appointments
You may book visits through phone, email, or our website contact form.
We offer both in-person and virtual sessions when available.
Appointment times depend on openings, provider schedules, and the type of service you need.
If you have special timing needs, we will try our best to help, but some requests may require the next available slot.
2. Arrival and Check In
For in-person visits, please arrive a few minutes early.
This gives you time to check in, update any details, and settle in before your session starts.
For virtual visits, please join the session link on time. Check your camera and sound beforehand so your visit can begin smoothly.
3. Late Policy
If you arrive late for your appointment, your session may be shorter.
If the delay is long, your provider may need to reschedule the visit.
This helps us stay fair to all clients who come on time.
Habitual late arrivals may affect future scheduling.
4. Cancellation Policy
We ask that you cancel or change your appointment at least 24 hours before your scheduled time.
Short notice cancellations may result in a fee.
Missed visits without notice may also lead to charges.
These rules help keep session openings available for others who need care.
5. Missed Appointments
Repeated missed sessions may limit future booking options.
If you miss several visits in a row, your provider may discuss a scheduling plan that works better for your needs.
6. Payment Policy
Payment is due at the time of service unless insurance is accepted and approved.
Some services may not be covered by insurance.
Any remaining balance after insurance processing becomes your responsibility.
If you need cost details, our office can share fee information before your visit.
7. Insurance Use
Insurance approval is not guaranteed.
It is your responsibility to check coverage and confirm benefits.
If insurance denies a claim, you may need to pay the unpaid portion.
Some telehealth services may have different coverage rules.
8. Prescription Policy
Medication requests must be reviewed by your provider.
Refills are not handled after hours, on weekends, or during holidays.
Please request refills several days before running low.
Lost or stolen prescriptions may not be replaced.
We follow strict safety rules for controlled medicines.
9. Communication Rules
You may contact us by phone or email for simple questions, scheduling, or basic updates.
Please allow time for a response.
Email is not for urgent concerns.
We do not use social media for communication about care.
10. After Hours
We do not offer after hours care.
Messages sent after office hours will be answered on the next business day.
For urgent needs, call 911 or local emergency services.

11. Telehealth Sessions
For virtual visits, you must join from a private place.
Do not drive during a telehealth session.
Your provider may end the visit if safety rules are not followed.
If video or internet issues interrupt the visit, we may switch to phone or reschedule.
12. Records Requests
You may request your health records in writing.
Processing times may vary.
There may be a small fee for printing or sending copies based on local rules.
13. Provider Availability
Your provider may not always be available right away due to sessions, emergencies, or time between appointments.
If your provider is on leave, another team member may help with basic needs until they return.
14. Respectful Behavior
We offer care in a safe, kind environment.
We ask all clients to show respect to staff and others.
Aggressive or unsafe behavior may lead to ending care or rescheduling under safer conditions.
15. Updates to Policies
We may update these Practice Policies at any time.
If changes occur, the new version will be posted with a revised effective date.
